User access & permissions

Understand the multi-layered security model that governs what you can see and do within the application.

Security in Construction Admin Helper is built on a multi-layer verification system. An action is only permitted if it passes all authorization checks, from Procore’s native settings to your specific subscription level.

1 - The Core Principle: Procore First

The most important rule is that Construction Admin Helper cannot bypass Procore’s security.

You will never be able to perform an action via the app that you are not authorized to do directly in Procore. This remains true even if you use the Technical User, as the system verifies the permissions of the human administrator triggering the command.

2 - The Layers of Authorization

To execute a bulk action on a specific tool (e.g., Punch Items) for a specific project, four conditions must be met:

  1. Whitelist Access: You must be manually added as an authorized user of Construction Admin Helper for that specific Procore Company (Instance).
  2. Tool Admin Status:
    • Project Level: You must have Admin permissions on the specific tool within that project.
    • Company Level: For company-wide actions, you must have Admin permissions on the tool at the Company level in Procore (some require Company Admin permissions).
  3. App Activation: The specific feature (e.g., “Inspections Bulk Import”) must be activated for your account.
  4. Subscription Coverage: The action must be included in your current pricing plan.

3 - Subscription & Pricing Impact

The availability of features depends on your organization’s subscription package. Some tools or advanced bulk actions may be locked based on your plan.

4 - Special Access: Export-Only Mode

For organizations that wish to involve more team members without increasing the risk of bulk data errors, we offer a specialized “Export-Only” mode. This is available upon request via a custom quote.

How it works:

  • Decentralized Data Extraction: Users can access the application to run exports and generate Excel templates.
  • Restricted Interface: The “Import”/“Update” buttons are completely de-activated and hidden from the user interface.
  • Centralized Validation: Team members can extract their records, update the Excel file, and then send it to a Lead Administrator who holds full “Import” rights for final processing.

[!NOTE] Even “Export-Only” users must still hold Admin permissions on the corresponding tool within their Procore project to perform an export.

5 - Access Requests

User management is centralized to maintain strict security standards. Users cannot modify their own permissions or add colleagues.

  • To add a new user: Provide their email address and the Procore Companies they should access (URL).
  • To upgrade permissions: Request a move from “Export-Only” to full access.
  • To inquire about a custom quote: Contact us for “Export-Only” bundles or enterprise access.
