Archive Inspection Templates

Learn how to clean up your inspection lists by archiving templates at the Project or Company level.

Over time, inspection lists can become cluttered with outdated templates. This tool allows you to archive multiple templates at once, either for a specific project or across your entire Procore Company instance.

1 - Permissions

Access to this feature depends on your Procore permissions and your subscription level:

  • Project Level: Requires Admin permissions on the Inspections tool for that specific project.
  • Company Level: Requires Admin permissions on the Company Inspections tool (and on underlying projects if you clean all projects as well). This is highly recommended for Company Admins who need to manage standards across all projects.

2 - Project-Level Archiving

When managing templates within a project, you will see a list of all available inspection templates. A “Company” icon next to a template name identifies templates that are pushed from the Company level. You can archive both project-specific templates and company-pushed templates directly from this view.

3 - Company-Level Archiving (Bulk)

The Company-level tool is designed for global maintenance. By default, archiving a template at the Company level only removes it from the Company list.

The “Archive in Projects” Option

There is a specific checkbox: “Archive in all associated projects”.

  • If unchecked: The template is only archived at the Company level. Existing projects using it will not be affected.
  • If checked: The app will scan all projects in your Procore instance to identify where this template is active and will archive it there as well. [Note] Checking this box will increase the execution time, as the script must verify and update the template status across your entire project portfolio.

4 - Selection Shortcuts

To manage large lists of templates efficiently, use the following keyboard shortcuts:

  • Multiple Selection: Hold Ctrl (or Cmd on Mac) while clicking to select individual templates.
  • Range Selection: Click the first template, hold Shift, and click the last template to select everything in between.

[TIP]: Archiving is not the same as deleting. Archived templates can still be found in the “Archived” tab within Procore if you ever need to restore them.
